Microsoft 365 Copilot Chat can write an Outlook email, let you edit it in the chat and send it with one click, and it can find a time that suits you and a colleague and send the invite. You don’t have to open Outlook for either, and you don’t have to copy anything out of the chat.
Getting rid of the copy and paste step is something I get asked about a lot by people using Copilot Chat to write email. Scheduling from Copilot Chat finished rolling out worldwide in February 2026. Sending email from the chat was a Frontier feature when I recorded this in March 2026 and reached general availability from May 2026.
What do you need before you start?
- A Microsoft 365 Copilot licence. Both features are for licensed users. The free Copilot Chat that comes with Microsoft 365 doesn’t get them, and Microsoft 365 Copilot vs Copilot Chat explains the difference.
- An Exchange Online mailbox. Email sending works with Exchange Online.
- The full Copilot Chat experience. Sending email works in Copilot Chat itself, not the Copilot side pane inside other apps. On mobile you review the draft in Copilot Chat and send it from Outlook Mobile.
- No admin setup. Both are on by default for eligible users, and your existing Outlook, Exchange Online, calendar and DLP policies still apply.
How do I schedule a meeting from Copilot Chat?
- Open Copilot Chat and sign in with your work account.
- Ask for a time with the person you want to meet. In my demo I was signed in as Frankie, a colleague, and asked: “Can you please find a time in the next 24 hours that Daniel and I can meet?”
- Copilot recognised Daniel as a top collaborator, checked both calendars and came back with times we were both free.
- Pick a time and ask Copilot to send the invite. I chose option two, on the Thursday, and Copilot sent the invite to Daniel.
Copilot can also book a room and draft an agenda as part of the same request, so put those in the prompt if you need them.
How do I send an email from Copilot Chat?
- Stay in the same conversation and ask for the email. I asked Copilot to write to Daniel giving some context for the meeting, which was about enhancing our Copilot enablement program across Copilot Chat and agents. Because the meeting was already in the conversation, I didn’t have to repeat the details.
- Copilot shows the draft inside the chat as an editable email. Change the message, subject or recipients, or add people on Cc.
- Ask for changes in plain words if you want them, such as “make it shorter” or “turn the agenda into bullet points”.
- Select Send to send it from the chat, or Open to move the draft into Outlook if you want Outlook’s formatting tools or to finish it later.
I recorded this with Copilot Chat switched to an Anthropic Claude Sonnet model. Sending and scheduling are Copilot Chat actions, so I’d expect them to work the same on other models, but that’s the only one I recorded with.
What should you watch for?
Read it before you press Send. The draft goes out from your mailbox under your name, exactly as it appears in the chat. Copilot doesn’t send anything until you select Send, so the check is yours.
Check the attendees. When you name a colleague, make sure Copilot has picked the right person, especially if two people share a first name.
Use one conversation for related tasks. Booking the meeting and writing the email in the same chat meant Copilot already had the context for the email.
Start with assisted email before you build an email agent
These two features keep a person on every send, and I’d start most teams here. You get the time saving of an assistant that drafts and books, and you still read every message before it leaves.
Once you’ve done that for a while, you’ll know which emails are the same every time. Those are the ones worth handing to an agent. I built a Copilot Studio agent that wakes when an email arrives, searches product documents and sends a formatted reply with no one in the loop. Before you build one, map the workflow: which steps can be delegated as they are, which need a human to refine them, and which need a human to decide.
The same idea goes further than email. In another build, a Copilot Studio agent connected to DocuSign through an MCP server looked up a contact and sent a contract for signature from one natural language request.
For longer, multi-step jobs that run across your files, email and calendar, getting started with Copilot Cowork is the next place to look. If you send regular updates to a wider group, Outlook newsletters are built for that.
Frequently asked questions
Can I send email from the free Copilot Chat? No. Drafting and sending Outlook email inside Copilot Chat needs a Microsoft 365 Copilot licence and an Exchange Online mailbox. Without the licence you can still ask Copilot Chat to write an email, but you’ll be copying it into Outlook yourself.
Can I send an email from Copilot Chat on my phone? Partly. In the Microsoft 365 Copilot mobile app, Copilot Chat shows the draft in the chat so you can review it, then you open it in Outlook Mobile to edit and send. That mobile experience rolled out from mid-August 2026.
Does scheduling from Copilot Chat follow my organisation’s calendar rules? Yes. Existing calendar and meeting policies still apply to invites Copilot sends, and admins don’t need to turn anything on. When it launched, scheduling worked with English prompts only.
Where does the email go if I select Open instead of Send? It opens as a draft in Outlook, where you can keep editing with Outlook’s full formatting and send it when you’re ready.
