01 / MAP THE INFORMATION ARCHITECTURE
Flip the hierarchy. Project to the top.
Before a single click in SharePoint, the architectural decision: what's the container, what's the metadata. We flip a six-level folder tree on its head, putting projects at the top and everything else as filterable metadata.
02 / BUILD THE CONTENT TYPE HIERARCHY
Project as a Document Set. Columns as metadata.
Enable Document Sets (off by default), then build a Project content type that inherits from Document Set. Layer on department, discipline, asset and project manager as site columns. Content type hierarchy done the right way.
03 / THE SHARED COLUMNS TRICK
Set metadata once. Watch it flow to every doc.
The setting buried in Document Set settings that auto-fills metadata on every file inside. Most SharePoint admins have never turned it on. This is the move that kills the "nobody fills in the columns" problem.
04 / CONFIGURE THE VIEWS
Welcome page view, filters, choice pills.
